| Reflex Stock, stock photography delivery guidelines: Reflex Stock accepts submission from individual photographers who own the copyright to a sizeable collection of images. We also accept submissions from photographic collections and production houses. We are also interested in high quality vector art and video production. Before images will be accepted to the Reflex Stock platform we need to review the collection of images you wish to submit to us. We accept images licensed for Royalty Free and Rights Managed usages. Once we have accepted your content we will enter into a contributor agreement outlining our terms of business. Any hard drives, fire-wire drives or DVDs containing your content will be shipped to our image server management team at your own cost. General Guidelines for submission of images to Reflex stock: Metadata in general An image should be submitted with metadata including a image description and keywords. Metadata can be provided in an Excel spreadsheet or can be embedded in each image as IPTC information. If your files are provided with IPTC metadata, many of the additional guidelines below can be ignored. Metadata must be provide in one spread spreadsheet. Data that is separated into numerous files for each shoot will not be accepted. We prefer to receive the metadata in a tab separated text file. An Excel spreadsheet is also accepted. The file should have column names that are clear. They must NOT contain any non-alphanumeric characters other than underscores (_). So no spaces, no /,.;:’ etc. The metadata file should have keywords stored in one column per language, not in a separate column per keyword. Metadata must haves: The metadata must state whether an image should be published as Rights Managed (RM) or Royalty Free (RF). If your collection is RF and you have multiple price tiers, the metadata must state the price tier for every image. Otherwise Reflex Stock will consider your collection to be single tier. This only applies if you have images that cost 300 dollar for a super resolution and other images that cost 400 dollar for a super resolution. The metadata must have a column which has the image number or file name of that corresponds to the images provided so the two can be tied together. Reflex Stock is a global distributor and we have a multi-lingual search engine. Therefore please provide keywording in as many languages as possible: - German

The more keywords the better, but please make sure they are relevant to the picture. Key words stuffing doe not help the sale of your images it only annoys the people who see your content in an irrelevant search. Please provide synonyms in your metadata. We normally host images in 4 resolutions (listed below). If your collection should have different resolutions, please inform Reflex Stock about this. - Super resolution (A3, 50Mb+ 300dpi)
- High resolution (A4, 30Mb+ 300dpi)
- Medium resolution (A5, 12Mb+, 300dpi)
- Low resolution (Web, 1Mb+, 72 dpi)
If your collection has CD’s / VCD’s: Please provide CD-cover files that are named exactly after the CD code, so CD1234 should have CD1234.jpg for a cover. Please provide covers of at least 350px on the longest edge Price tier information must be stated for every CD in the metadata, even if you have just one price tier. The metadata must state for every CD whether it is to be sold as virtual CD only, hardcopy only or both Files: The files you provide should NOT have any suffix depending on the resolution, like 12345_super.jpg for 12345.jpg etc. Our server automatically scales high resolution images on demand. You need only send us the highest resolution available. Reflex Stock generates thumbnails of 120px and 170px, previews of 350px and extra large comps of 600px. For this, please provide 72dpi files of 600px or more on the longest edge. The file structure of your delivery should be like: - SUPER: all super resolution files should be stored under this directory
- HIGH: all high resolution files for which no super resolution is available should be stored under this directory
- MEDIUM: all medium resolution files for which no larger resolution is available should be stored under this directory
- LOW: all low resolution files for which no larger resolution is available should be stored under this directory
- WEB: All files should be stored in this directory in a 600px size or moreMETADATA: this directory should contain the metadata file.
Metadata layout suggestions: Columns marked with a * are mandatory, with a ** are only mandatory for RF images.
